For a small or growing business, the useful version is more practical: someone who learns how your week actually runs, finds where AI can save real hours, sets it up, and trains your team to use it. This guide explains what that should include, how consultants charge, and how to tell if you need one.

What good AI consulting for a small business includes

A useful engagement usually has four parts.

  1. A map of how work really happens. Not a survey. Conversations with the people doing the work, to find where time goes and where things get stuck.
  2. A ranked list of AI uses. Each one scored by hours and dollars it could save, how hard it is to start, and the risk if it goes wrong. A good list also says what isn't worth the money.
  3. Setup and training. Recommendations that nobody sets up don't save anything. The consultant should help put the first uses in place and train the people who'll use them.
  4. A number that shows it worked. Hours saved, turnaround time, response time. Something you can measure before and after.

If a proposal skips the first step and jumps straight to tools, be careful.

Red flags when hiring an AI consultant

  • They recommend tools before asking how your business works.
  • They earn commissions on the software they recommend. Ask directly. It changes the advice. (We take none, ever.)
  • They promise specific results before they've seen your operation. Nobody honest can promise "40 hours saved" on a first call.
  • Everything is a custom build. Many wins come from tools you already pay for.
  • No plan for training. If your team isn't trained, adoption usually fades within weeks.
  • No measurement. If there's no before-and-after number, you can't tell if it worked.

When you don't need an AI consultant

Plenty of businesses can start without one. You may not need outside help if:

  • Someone on your team has a few hours a week to map processes and test tools.
  • Your first use is obvious and low risk, like meeting notes or email drafts.
  • You're comfortable reading each tool's data and privacy terms yourself.
